Short Summary
Collective Epic LLC d/b/a Epic Online Notary collects personal information to provide remote online notarization, identity verification, document handling, payments, support, security, fraud prevention, recordkeeping, legal compliance, and Growth Site services. We share information with contracted service providers by category, not as a public vendor directory. Internal records preserve the exact provider used for a transaction.
Categories of Personal Information
We may collect identifiers, contact information, account credentials, document-upload data, transaction metadata, government ID information, identity-verification information, knowledge-based authentication metadata, liveness or face-comparison data, audio-video recording data, signatures, payment data, device and network data, geolocation or declared location, support communications, Growth Site attribution data, and legal/compliance records.
Sensitive Information
Some workflows may involve sensitive personal information, including government ID images, biometric or biometric-related liveness data, precise location, financial/payment information, citizenship or immigration-related fields if supplied through identity documents, signatures, notarization records, and documents that may reveal legal, financial, medical, family, property, court, or business information.
Purposes
We process information to create accounts, verify identity, perform legally required identity checks, enable notarial sessions, support commissioned notaries, process payments, deliver documents, preserve records, detect fraud, secure the platform, support users, comply with law, manage disputes, support Growth Sites, and improve service reliability.
Categories of Third Parties
We may share information with contracted providers for identity verification, knowledge-based authentication, credential analysis, liveness detection, face comparison, fraud prevention, recording, storage, payment processing, communications, customer support, analytics, security, legal compliance, enterprise services, and professional services. We may also share information with commissioned notaries, authorized enterprise customers, regulators, law enforcement, courts, or recipients when legally permitted or required.
Vendor-Generic Public Disclosure Rule
Public-facing disclosures identify categories of providers. Collective Epic LLC d/b/a Epic Online Notary’s internal vendor register and transaction dossier preserve actual provider names, contracts, workflow IDs, session IDs, transaction IDs, results, retention settings, and evidence.
Retention
Remote online notarization records, recordings, identity-verification evidence, journal data, and transaction logs may be retained for legally required periods, platform policy periods, or longer for legal hold, fraud prevention, audit, dispute, insurance, or regulator purposes. Some deletion requests cannot be completed when retention is required by notarial law, legal hold, security, fraud prevention, or transaction integrity.
Your Rights
Depending on your state and relationship with Collective Epic LLC d/b/a Epic Online Notary, you may have rights to access, correct, delete, obtain a copy of, or opt out of certain processing. You may submit privacy requests to privacy@epiconlinenotary.com. We will verify requests and respond as required by applicable law. If an appeal process is required by law, instructions will be included in the response.
No Sale of Biometric Data
Collective Epic LLC d/b/a Epic Online Notary does not sell or lease biometric identifiers. Service-provider sharing for identity verification, fraud prevention, notarial compliance, recording, storage, dispute resolution, security, or legal compliance is not treated as a sale by Collective Epic LLC d/b/a Epic Online Notary.
Security
We use administrative, technical, and organizational measures designed to protect information. No system can be guaranteed perfectly secure. Users should protect account credentials and report suspected compromise.
